WellNest is a premium, physician-led wellness and longevity clinic in Cape Town City Centre. We combine medical expertise, advanced diagnostics and exceptional client service to help people improve their health, performance and long-term wellbeing.
We are looking for an experienced, polished and proactive front office professional who enjoys working with people and takes pride in creating an exceptional client experience. This role suits someone with previous experience in healthcare, wellness, hospitality, reception or premium customer service who is ready to take ownership of front office and patient experience responsibilities.

Key responsibilities
- Welcome, check in and assist clients and visitors.
- Manage bookings, confirmations and appointment changes.
- Handle reception and front office administration.
- Assist with client communication, quotations and payment links.
- Maintain accurate client and administrative records.
- Support product collections, deliveries and stock administration.
- Assist with opening and closing procedures.
- Coordinate client tours and help maintain a premium client experience.
- Escalate clinical, payment or operational matters appropriately.
- Support events and changing operational requirements when needed.
- Maintain strict client confidentiality.
Essential requirements
- Previous front office, reception, hospitality, healthcare, wellness or premium customer-service experience.
- Excellent written and spoken English.
- Friendly, confident and professional communication.
- Strong organisational and administrative skills.
- Comfortable working across multiple AI and software platforms.
- Proactive, solutions-focused and able to work independently.
- Flexible when business needs change.
- Reliable access to Cape Town CBD. Own transport is essential.
- South African ID or a valid work permit.
- A valid South African tax number, or the ability to obtain one.
Advantageous, not compulsory
- Experience in a premium healthcare, wellness or hospitality environment.
- Experience with booking systems, CRM tools or Google Workspace.
- Experience coordinating events or client tours.
- Additional South African language skills.

- Bookings, confirmations, records and payment follow-ups are accurate and current without being chased.
- Clinical, payment and operational matters are escalated early and to the right person.
